Welcome to Drivemate. Drivemate Technologies (“we”, “us”, “our”) operates the Drivemate Driving School Management Platform, including our websites, mobile applications (“Apps”), cloud services, and portal services.

This Privacy Policy is designed to inform you how we collect, use, share, and protect information when you register, log in, or interact with our system, whether as a driving school owner, administrator, instructor, employee, or student driver.

By using our services, you agree to the collection and use of information in accordance with this policy. If you do not agree with any terms of this policy, please do not use our platform or provide us with any personal data.

2. Information We Collect

A. Personal Information

We collect personal identifiers that you voluntarily supply when creating accounts or setting up driving school parameters, including:

  • Identifiers: Full names, email addresses, phone numbers, and home/business addresses.
  • License details: Driving license numbers, categories, issuing details, and expiry states.
  • Visual Documentation: Profile photographs and document scans required for credentials checks.
  • Credentials: Account login parameters (passwords, secure tokens).

B. Device & Technical Information

When using our mobile apps or portal interfaces, technical telemetry data is automatically collected:

  • Device Identity: IP addresses, MAC addresses, device models, and manufacturer specifications.
  • OS telemetry: Operating system versions, device configurations, and browser signatures.
  • App Logs: App performance indicators, event logs, error stacks, and crash logs.

C. Usage Data

We monitor logs indicating how you interact with Drivemate utilities, including:

  • Scheduler Logs: Lesson booking grids, duration stats, schedules, and cancellation records.
  • Operational logs: Attendance tallies, completed hours, grading feedback, and evaluations.
  • Billing details: Payment records, transaction codes, ledgers, and subscription items.

Drivemate requires access to certain sensitive APIs to provide operational services:

  • Location Data: We collect precise coordinates during driving lessons to record lesson routes, calculate driving hours, and generate map summaries for students and instructors.
  • Camera Access: Utilized strictly for profile photo selection and scanning driving licenses or receipts directly into database profiles.
  • Contacts List: Accessed only with explicit permission to allow administrators to invite new students or search contacts for faster enrollment.

3. How We Use Your Information

We process the information collected for specific business, operational, and development needs:

  • Core Service Provision: Managing school organizations, maintaining calendar schedules, recording attendance, and syncing instructor-vehicle databases.
  • Lesson Auditing: Recording precise routes, telemetry speeds, and time logs during active lesson sessions to document student progress.
  • Financial Management: Creating receipt registers, keeping ledgers, and processing tuition installment timelines.
  • Security & Optimization: Resolving application crashes, blocking malicious actions, verifying student identities, and enhancing Next.js page speeds.
  • Client Communications: Delivering app notices, push notifications for lesson schedule changes, transaction updates, and security logs.

4. Prominent Permissions Disclosure

To meet Google Play Store and App Store safety guidelines, we provide this prominent disclosure regarding data permissions used in our mobile applications.

location_onLocation Permissions (Foreground & Background)

Drivemate tracks location coordinates to record routes during driving lessons. Background Location access is required to ensure that tracking remains continuous if an instructor lock-screens the device or navigates to a navigation application (e.g. Google Maps) while a lesson is active. This tracking is explicitly enabled only when an instructor initiates an active lesson, and shuts down immediately when the lesson ends. Location data is never collected when lessons are inactive.

photo_cameraCamera Permission

Requested when you click your avatar or attempt to upload physical license verification documents. Images are securely hosted on Google Cloud Storage and Firestore databases, accessible only to school administrators.

contactsContacts Permission

Allows driving school operators to search and sync their phone contacts to enroll new students directly without manual typing. The contacts data is matched locally on your device and is not cached on our servers unless you explicitly save a contact as a student.

5. Data Sharing & Disclosure

We do not sell, rent, or trade your personal data to advertising networks. Your information is shared only under strict conditions:

  • Driving School Staff: Student schedules, contact info, progress records, and coordinate routes are visible to authorized administrators and instructors inside your registered driving school.
  • Service Providers: We share technical markers with cloud providers (e.g. Firebase hosting, Firestore, maps providers) who support application operational services. These providers are legally bound to protect your data.
  • Payment Gateways: When paying fees through our portal, transactional hashes are securely sent to registered payment gateways to process transactions.
  • Legal Compliance: We disclose personal identifiers to authorities if required to comply with judicial orders, regulations, or active government requests.

Location Data Sharing Restriction

Drivemate does not share location data with marketing agencies or third-party brokers. Coordinates are kept encrypted inside Firestore containers and used strictly to output operational maps for student lesson history screens.

6. Data Storage & Security

We implement professional, industry-standard safety protocols to store and secure data:

Secure Google Cloud Stack

All data resides on Firebase servers. Firebase Firestore stores document databases, Firebase Authentication coordinates token handshakes, and Firebase Storage locks media files.

Transport & Rest Encryption

All communications between the apps, portals, and cloud servers are encrypted using TLS/SSL security protocols. Data at rest is encrypted in Google Cloud Storage containers.

While we utilize robust industry-standard measures to safeguard your information, please remember that no system is 100% secure. You are responsible for keeping your account passwords and device lock-screens confidential.

7. Data Retention

We retain personal data as long as your school profile remains active or as required to validate lessons for regional transport audits and certificates.

Upon account termination, we proceed with data cleanup cycles. Inactive log files are automatically pruned, while audited driving logs required by local regulatory bodies may be kept in locked read-only databases according to local administrative deadlines.

8. International Data Transfers

Drivemate operates globally, and your information may be transferred to and maintained on computers located outside of your state, province, or country, where data protection laws may differ from those in your jurisdiction.

If you reside outside the United States and choose to provide information to us, please note that we transfer data to the United States and process it there. We ensure standard contractual clauses are signed with our cloud vendors to protect your data transfers.

9. Your Privacy Rights

Depending on your geographic location, you possess standard privacy entitlements under current frameworks:

  • Access: The right to request copies of the operational profiles we hold for you.
  • Correction: The right to update inaccurate details, license errors, or wrong phone numbers.
  • Deletion: The right to request that we erase your personal data from active servers.
  • Consent Withdrawal: The right to revoke permissions for features (such as location tracking or camera access) through your system settings.

10. Children's Privacy

Drivemate services are strictly designed for individuals qualified to enroll in driving schools (generally ages 15 and above). We do not knowingly collect or store personal data from children under the age of 13.

If we discover that a child under 13 has registered and provided us with personal details without verifiable parental consent, we will take immediate steps to delete those records from our Firestore servers.

11. Changes to This Policy

We may modify or update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the “Last Updated” timestamp at the top.

For significant changes (such as modifications to location permission rules), we will send direct notifications inside the Drivemate Apps or email registered administrators. You are advised to review this policy periodically for updates.
